How to create a project template, build one and save a project as a template.

Project templates in Onetrace allow you to save time and maintain consistency by pre-populating new projects with the forms, materials, locations, approvals, and folders you need. By creating templates in your Library, you avoid having to set everything up from scratch each time you start a new project.

Pre-populating your projects with templates provides several benefits:

  • Consistency – Standardised templates ensure projects follow the same structure and requirements.

  • Efficiency – Quickly create new projects and begin working faster.

  • Organisation – Improved oversight through structured templates.

  • Scalability – Establish a foundation to manage more projects as your business grows.


Ways to use project templates

Onetrace gives you three options for working with project templates:

  1. Add a new project template to your Library

  2. Build and customise a project template

  3. Save an existing project as a template

Adding project templates using the library

How to add a template to the library:

  1. Select the Library tab from the left-hand navigation bar.

  2. Click the Project Templates tab.

  3. Click + Add Template.

  4. Enter a name for your new template.

  5. Click Add Template to save.

  6. Your new template will now appear in the Library, ready to be customised.

Building your project template

Once a template is created, click on it to start customising. Templates act as skeletal versions of projects - you can predefine everything you need depending on the type of work being carried out.

You can customise the following sections:

Template field

Details

Add or edit basic information about the project template.

Forms

Select which forms will be included by default. For example, preload standard install or survey forms for relevant projects.

Jobs

Add custom attributes, define job requirements, and set preferences for creating new locations.

Locations

Predefine locations relevant to your project type.

Specifications

Manage specification settings and apply custom attributes.

Materials & Rates

Select which materials and rate sets will apply. For instance, you might only include fire-stopping materials for a fire-stopping project.

Approvals

Set up approval workflows by adding stages (e.g., “Installer Approval”). You can choose which forms require approvals.

Folders

Add folders to organise Signed Docs and Files

💡 You can set up as many templates as needed to cover different types of projects or clients. If a project requires additional forms or materials later, you can still add them directly within the project itself.

Create a project from a template

If you’ve already set up a project and want to reuse its structure, you can save it as a template:

  1. Open the project you want to save as a template.

  2. Click the three dots menu in the top-right corner.

  3. Select Save as Template.

  4. Enter a name for the template.

  5. Click Add Template.

  6. This project will now be stored in your Library as a reusable template.
