What are rate sets?

A rate set is a collection of rates; a set acts like a price list. Multiple rate sets are needed so that an organisation can update their rates (prices) without affecting historical jobs or projects. See examples of rate sets below.

Organisations may also use different rates (prices) for different customers (dependent on size or frequency of work), and they can achieve this by using rate sets. Without rate sets, you could only have one rate per material across the whole of Onetrace, no matter if you do 10 projects a year or 1000. This is inflexible for the nature of work that subcontractors undertake and also compromises historical data.

Rate set examples:

  • Yearly - you might wish to have yearly rates (2023 rates, 2024 rates)

  • Client-based - discounted rates for your most valued clients (10%, 20%)

  • Manufacturer/Brand - rates categorised as per the manufacturer (Hilti rates)

Adding global organisation Rate Sets

How to add global rates sets:

  1. Choose the Settings tab using the left navigation bar.

  2. Click the Rate Sets button.

  3. Navigate the desired Rate Group, and click the Rate Set you wish to work with.

  4. Click the Import Rates blue button.

  5. You have two options to download a template.

    1. Current rates CSV template - all current materials and their associated rates across your organisation

    2. Empty rates CSV template - all current materials without their associated rates across your organisation

  6. Open the downloaded file on your device.

  7. You'll find the following information on the template

    1. Material Name (e.g. Hiliti Ablative Batt)

    2. Material ID (e.g. 65c3b3afa70ba494d1015143)

    3. For up to column (e.g. the amount of product used up to a particular price point - Β£8 a meter of sealant up to 20 meters, then its Β£5 a meter for anything beyond 20 meters)

    4. Flat Amount (e.g. single fixed rate for a particular material or service)

    5. Per Input Type (e.g. Quantity, Square Metre, etc.)

  8. Enter the corresponding information against each of these fields.

  9. Review the information you have entered and save the CSV Template

  10. Click the Select CSV File button to upload the file back into Onetrace

  11. Click the Import CSV button.

  12. Review your changes in the summary box and click the Confirm Changes button when ready

Adding project specific Rate Sets

How to add project specific rate sets:

  1. Click the Project you wish to work with

  2. Click the Project Setup button

  3. Select Materials & Rates from the dropdown menu

  4. Click the Material Manager button

  5. Click the Import Rates button

  6. Select the Rate Group using the dropdown

  7. You have two options to download a template

    1. Current Rates CSV template - includes all the current materials and their associated rates for that specific project

    2. Empty Rates CSV template - includes all the current materials without rates for that specific project

  8. Open the downloaded file on your device

  9. You’ll find the following information on the template:

    1. Material Name (e.g. Hiliti Ablative Batt)

Managing Rate Sets

How to rename a rate set:

  1. To rename a rate set, navigate and click the desired Rate Group, and click the Rate Set you wish to edit.

  2. Edit the Rate Set Name and click the Save Changes button.

How to lock a rate set:

  1. Click the Settings button from the main navigation panel on the left.

  2. Click the Rates tab.

  3. To lock a Rate Set, navigate and click the desired Rate Group, and click the Rate Set you wish to lock.

  4. Turn on the Lock Rate Set switch.

How to duplicate a rate set

  1. Click the Settings button from the main navigation panel on the left.

  2. Click the Rates tab.

  3. To duplicate a Rate Set, navigate and click the desired Rate Group, and click the Rate Set you wish to duplicate.

  4. Click the three dots and click the Duplicate Rate Set button.

  5. Input the name and description if any and click the Add Rate Set button.

Deleting Rate Sets

How to delete a rate set:

  1. Click the Settings button from the main navigation panel on the left.

  2. Select Rates from the left hand side bar

  3. Choose the Rate Group that the Rate Set will be living in

  4. Select the Rate Set that you would like to delete

  5. Navigate to the bottom of the blocks to the red Delete Rate Set

  6. A confirm button will show if the Rate Set is not currently being used on a project or has been in the past.

  7. If the Rate Set has been used on a project then you will not be able to delete it, please contact our support team for more information.

⚠️ If the Rate Set is currently in use on a live project or has been used on a completed project you will not be able to delete the rate set. This is due to the negative impact on your data that will occur if the Rate Set is deleted.
