Maintaining forms from a project

How to edit, archive, delete and maintain forms through a project's setup

With Onetrace, you can update forms at any time, in line with new accreditation or if further detail or evidence is needed for installs and surveys.


Edit a form in the project setup

If you would like to make changes specific to a project without affecting the global form going forward, you can do so via the project setup to isolate the changes.

How to edit a form in an existing project:

  1. Select Projects in the left-hand sidebar.

  2. Choose the project you want to add the form to.

  3. Go to Project Setup in the top-right corner, then select Forms from the dropdown.

  4. Select the form you want to update in the active section.

  5. Click Edit in the top-left corner.

  6. Make the changes you need to the form.

  7. Click Save & Publish to make the changes live for your operatives.

⚠️ Changes made here will affect all job sheets made previously and in the future, so if you delete an element, it will be removed from all job sheets made with this form

Deleting a form

If you have made a mistake on a form or no longer need a particular form, you can delete it as long as it has not been used for a job sheet.

How to delete a form

  1. Click on projects in the left-hand sidebar

  2. Select the project you would like to delete a form from

  3. Navigate to Project Setup in the top right-hand corner of your screen

  4. Choose Forms from the dropdown

  5. Click on the 3 dots next to the form name

  6. Select Delete Form from the dropdown

  7. Select the Confirm button

  8. If the form has been used or is currently in use, a message will show that you can only archive the form rather than delete

  9. Select the Archive Form button to remove the form from use on the project Note: If you only see an option to archive the form, you can open the form directly, click the options menu in the top-right corner, and select Delete.

Archive a form

You can't delete a form once it's been used in a project—it's linked to past jobs and completed work. Instead, you can archive an out-of-date form, so operatives can no longer see or use it on future jobs. Archiving removes the form from active use while keeping it available for reference or reactivation later. Deleting, by contrast, removes the form from the project for good.

How to archive a form:

  1. Click on projects in the left-hand sidebar

  2. Select the project where you would like to archive a form

  3. Navigate to Project Setup in the top right-hand corner of your screen

  4. Choose Forms from the dropdown

  5. Click on the 3 dots next to the form name

  6. Select Archive Form from the dropdown

  7. Click on the Archive button

  8. The form will now sit in the Archived section and won’t be available to use by your operatives

Unarchive a form

How to unarchive a form:

  1. Click on projects in the left-hand sidebar

  2. Select the project you would like to unarchive a form from

  3. Navigate to Project Setup in the top right-hand corner of your screen

  4. Choose Forms from the dropdown

  5. Go to the Archived section

  6. Click on the 3 dots next to the form name

  7. Select Unarchive Form from the dropdown

  8. Click on the Unarchive button

  9. The form will now sit in the Active section and be available to use by your operatives
