Maintaining forms from the Library

How to edit, archive, delete and maintain your forms within the Library

How to maintain and amend forms in your Onetrace library. With Onetrace, you can update forms at any time, in line with new accreditation or if further detail or evidence is needed for installs and surveys.


Editing an existing global form

How to edit an existing global form:

  1. Head to the Library in the bottom left-hand corner of your screen

  2. Select Forms

  3. Navigate to the form you would like to edit

  4. Click on the Edit button

  5. Edit the section or elements that you would like to update

  6. Click on the Save & Publish button to save the changes to the form

  7. These changes will be made available for all projects going forward

⚠️ Updating a form in the Library does not update forms already linked to existing jobs.

Deleting a form

How to delete a form:

  1. Head to the Library in the bottom left-hand corner of your screen

  2. Select the form you would like to delete

  3. Navigate to the three dots next to the Edit button

  4. Choose Delete Form from the dropdown

  5. Type in DELETE in capital letters to confirm the deletion

  6. Select the delete button

⚠️ If the form has been or is being used on a project, you will not be able to delete it, but will instead need to archive the form so operatives can no longer see or use it on any future jobs.

Archive a form

How to archive a form:

  1. Head to the Library in the bottom left-hand corner of your screen

  2. Select the form you would like to archive by clicking on the checkbox next to the form name

  3. You can select multiple forms at once to archive at the same time

  4. A toolbar will pop up with a folder icon

  5. Select the folder icon to archive the form

πŸ’‘ Use the filter at the top of the forms table to switch between active and archived forms

Unarchive a form

How to unarchive a form:

  1. Head to the Library in the bottom left-hand corner of your screen

  2. Navigate to the filter currently displaying active forms

  3. Select Archived Forms from the drop-down

  4. Select the form you would like to become active again by clicking on the checkbox next to the form name

  5. You can select multiple forms at the same time

  6. A toolbar will pop-up with a folder icon

  7. Select the folder icon to re-activate the form

Best practices for managing forms:

  • Versioning forms - archive and rename out-of-date forms to avoid your operatives accidentally using the wrong form when on site.
