Introduction to Projects

What are Projects within Onetrace, and how do they connect with the different areas of the Workforce package.

Within Onetrace, everything starts with a project. Projects are a digital representation of sites that are being worked on. These could be a block of apartments, a hospital, or any type of building under construction or undergoing remedial work.

💡 This article is for customers on the workforce package. You can check which packages you’re part of on the admin page.

Site location

Workforce projects are the foundation of your team’s work and reporting. Each project holds essential site details—such as the address—to help operatives find locations quickly via the mobile app. You can also use our what3words integration to pinpoint exact site locations for better accuracy.

Compliance and documentation

Managing compliance and project accountability is straightforward with Onetrace. The docs & files tab gives you full control over how documents are distributed and tracked, ensuring your teams remain compliant while reducing administrative effort.

  • Centralised storage: keep RAMS, health and safety forms, contracts, and certificates in one secure place.

  • Organised paperwork: maintain a clear structure across projects so documents are always easy to find.

  • Integrated compliance: turn critical documents into trackable records that connect directly to your workflows.

Project visibility in Planner

The planner gives you a clear overview of your team’s schedule, allowing you to move operatives between projects in seconds. Because it’s cloud-based, any changes you make are reflected instantly on the mobile app.

You can create custom views to filter information by what matters most:

  • Project views: see all operatives assigned to a specific project to track overall progress.

  • Operative views: focus on an individual’s week or a team’s availability to manage workloads.

  • Flexible search: create a view by searching for clients, quarters, or specific teams.

Timesheets and clocking in

Projects ensure that operatives clock in and out of the right site, grouping on-site time for accurate reporting. Administrators can then review time and attendance across the whole business in one place.
