Approvals in Onetrace now support hand-drawn signatures. When you approve a job sheet, you can draw your own signature instead of the one Onetrace generates automatically from your name. Your admin controls whether hand-drawn signatures are required for your organisation, and once they're switched on, they apply to every approval—on its own or in bulk.
Time save: draw your signature once, save it, and Onetrace reuses it for every approval until you change it.
Ready for audits: each approval keeps a permanent record of the exact signature used at the time, even if you later update your saved signature.

💡 Hand-drawn signatures are off by default in Settings. An admin needs to turn them on before they appear on the approval screen.
Enable drawn signatures
This is an organisation-wide setting, so we'd recommend turning it on before your team starts approving job sheets—otherwise everyone will keep seeing the auto-generated signature until you do.
How to enable digital signatures
Go to Settings > Approvals.
Enable Require a drawn signature to approve. This will become live immediately for all projects in your organisation.
Sign an approval on a job sheet
Once hand-drawn signatures are turned on, you'll see a slightly different approval window the next time you approve or reject a job sheet.
How to add your signature
Open the job sheet and select Approve.
If you haven't saved a signature yet, select Add signature.
Draw your signature with your mouse or trackpad.
Select Approve to complete the approval.
Edit your saved signature—update it whenever you need to.
Open the approval window. If you've already saved a signature, it shows automatically with an Edit signature button next to it.
Select Edit signature, draw your new signature, and select Save signature.
Job sheets you've already approved keep the signature you used at the time—updating your saved signature doesn't change historical approvals.
If hand-drawn signatures aren't turned on—you don't need to do anything differently.
Onetrace generates your signature automatically from your name, the same way it always has.
If you'd like to draw your own instead, ask your admin to turn on hand-drawn signatures (see above).
Approve job sheets in bulk
Hand-drawn signatures also work when you approve or reject job sheets in bulk—see Bulk approve or reject Job Sheets for how to select multiple job sheets.
Select the job sheets you want to approve, then choose Approve.
If the job sheets you've selected span more than one approval stage, Onetrace lets you know before you continue.
Type Approve to confirm, then select Approve.
Your saved signature—hand-drawn or auto-generated, depending on your organisation's setting—is applied to every job sheet you selected.
