Linking work with QR codes

Using QR codes in Onetrace creates a reliable digital record of work on-site. By linking physical tags to digital job sheets, you ensure every location has a clear, accessible history for future inspections and audits.

Setting up QR code linking

You can enable QR code linking for specific projects or across your entire organisation.

For a specific project:

  1. Select Projects from the sidebar and click on your chosen project.

  2. Go to Project setup, select Forms from the dropdown, and pick the form you want to edit.

  3. Enable QR code linking in the advanced settings.

  4. Select Make this mandatory if you want to ensure your team completes this step for every job.

💡 For all future projects: To include this setting automatically in new projects, enable it within your Global library forms.

How operatives link work on-site

Once you’ve enabled the setting, your team can begin tagging their work.

How to add a QR code to a new location:

  1. After finishing a job sheet, the operative places a physical QR code label on or near the work.

  2. They scan the label within the Onetrace app to link the physical tag to the digital record.

How to add job sheets to an existing location and QR code:

  1. Open the Onetrace app.

  2. Start a new job by tapping the plus icon or selecting one from your visit schedule or the awaiting section.

  3. Tap the QR code icon in the top right—hand corner.

  4. Scan the QR code at your location using the camera.

  5. Select your form to begin the job sheet, or one will have been chosen for you by your admin team.

  6. Confirm the location and details are correct, and click create job sheet.

  7. Submit the job sheet to link it to the location.

Viewing history and recurring tasks

For future visits, anyone using the Onetrace app can scan the QR code to view the full history for that location.

If you need to perform recurring tasks—such as an annual inspection—simply start a new job within the project, scan the code, and begin work. Onetrace automatically attaches all new data to that specific location.
