The Signed Docs tab provides a centralised location for all project-related work. With features like auto-assign, metrics and tracking, exporting documents, blocking job sheet creation, and the global view tab, this tab enhances project and document management.


✨ Signed Docs Enhancements

We’ve introduced a comprehensive suite of updates and features to Signed Docs to streamline compliance processes and improve your experience with the Onetrace platform. These enhancements are designed to make Signed Docs more accessible, reduce setup time, and provide compliance-based controls over work being carried out.

Feature

Purpose

1. Auto-assign Members

Team members are now automatically added to signed documents when assigned to a job within a project. This eliminates the need for manual intervention, ensuring the correct people are included while saving time and reducing errors.

2. Metrics and Tracking

Admins gain enhanced visibility with detailed tracking of member interactions with signed documents. A new timeline visual allows you to see when users have viewed and signed a document.

3. Export Documents with Summaries

Export signed documents with ease using the new download feature. This allows you to generate a signing summary alongside the document for sharing or record-keeping.

4. Block Job Sheet Creation

When enabled, this feature ensures that assigned members must sign all required documents before proceeding with any work-related actions on a project. This helps maintain compliance by ensuring critical documents are signed before work begins. If disabled, operatives can proceed without a signature.

Global Signed Document View

We’re introducing a Global Signed Docs page, similar to the existing Global Jobs and Global Job Sheets pages. This feature allows compliance teams to quickly analyse document sign-offs, identify patterns in operative behaviour, and ensure consistency across the organisation.
