The Onetrace mobile app makes it easy to manage your time, jobs, and tasks while on site. This guide introduces the key features, including how to clock in and out, start jobs, work offline, and complete your job sheets.

Key features of the mobile app

Offline drawings

If you’re working in an area with poor or no signal, the Onetrace app lets you access drawings offline. All relevant drawings are downloaded when you start a job, so they’re always available. You can also complete and submit job sheets offline - once you’re back online, everything syncs automatically with the office and desktop app.

💡 Top tip: Always keep Offline Drawings enabled and ensure the app stays open until syncing finishes. This minimises disruption and ensures your data is safely uploaded.

Clocking in and out

Clocking in and out is quick and reliable via the My Time section of the app. You’ll need to enable location services. Onetrace records your location only at the moments you clock in and clock out - it does not track your movements during your shift.

Jobs

Jobs in Onetrace act as containers that hold your work, sheets, and tickets for a site. There are two ways to start a job in Onetrace:

  1. Scheduled jobs: Usually created by your site manager or admin. They will appear as Awaiting in your app.

  2. Manual jobs: If you have the right permissions, you can select any project to which you are invited and start a job manually.

Starting a job downloads all project information, such as:

  • Site contact details

  • Instructions

  • Notes from your manager

Job setup and sheets

Before starting a job, you may be asked to sign a RAMS document or review other site information. These files can be found within the project page.

When adding a job sheet:

  • If the project includes drawings, drop a pin on the drawing where the work is being carried out.

  • If there are no drawings, create a new location and add details using references and attributes. These will appear on the form.

Only tap Complete Job once all work for that job is fully finished, unless instructed otherwise by your admin.

To-Do List

The To-Do List contains pre-dropped pins and tasks assigned by your admin team.

  • Selecting a task will take you straight to the correct location on the drawing.

  • This ensures accuracy and prevents duplication of work.

  • You can also create new locations manually if needed.
