Clock-in and clock-out using the mobile app

How to clock in and out of the mobile app to record your time, and how to enable GPS for accurate location stamping.

Timesheets in the Onetrace mobile app provide Administrators with accurate visibility of when and where operatives clock in and out, using timestamps and GPS location. This builds confidence and transparency that teams are on-site and working at the right times. This guide will walk you through the steps to clock in and out of a project using the app.

  • Timesheets record only the moment of clock in and clock out—not continuous tracking throughout the day.

  • GPS data provides a snapshot of the operative’s location at those times.

  • Administrators can rely on Timesheets for clear, verifiable evidence of attendance on site.


⚠️ Geofencing is currently in beta and only available to a select group of customers. To use this feature, you must run version 12.7 or higher of the mobile app. You can check your current version by tapping your initials in the top left—hand corner of the home screen, scrolling to the bottom, and viewing the version number.

Clock in and out of the mobile app

How to clock in and out in the mobile app:

  1. Open the Onetrace app on your mobile device.

  2. View your scheduled visits for today or any upcoming work from your homepage.

  3. Tap See all to view every visit assigned to you.

  4. Select the visit you want to start.

    1. If you don’t have visits head to the My Time tab in the bottom-right corner and select play button to clock into a project.

  5. Tap Clock In. The first time you clock in, you will be prompted to enable location services. Tap Enable Location to allow access.

    1. Location services are only used to grab a snapshot of your coordinates when you clock in and out, never tracking you through out the day.

  6. If your organisation uses a geofence, you must be within the radius for an accurate record. The app uses two geofence modes:

    1. Soft warning: the app will warn you if you are outside the geofenced area and note this on your timesheet. You can move inside the radius or clock out if you are too far from the site.

    2. Hard block: you cannot clock in, clock out, or clock into a new site if you are outside the site radius. If you cannot get back to the site, contact your admin to clock you out manually from the web.

  7. When you have finished your shift, or completed work for a particular visit, clock out by pressing the stop button in the visit.

    1. If you clock in using the My Time tab, you will need to head back there to clock out.

  8. The same geofencing rules apply when you go to clock out, with location services needing to be enabled to ensure you are within the geofence radius.

⚠️ Remember: You must manually clock out at the end of your shift. Always clock out after completing a job for the day.

💡 Note: Location services are only used to record the timestamp when you clock in. It does not track your location throughout the day.

What are the requirements for using geofencing?

How do location services work with geofencing?

Time verification

To ensure your time is recorded accurately, Onetrace checks that your device time matches real time when you clock in or out. If there’s a discrepancy, a status will appear in the clock in and out screen for review. This won’t block you from working or completing your time logs.

You can click on the status within the app to learn more about what each one means:

  • Clock mismatch: your device clock differs from our server time. This doesn't prevent you from clocking in or out, but it will be visible on your timesheet records.

  • Not confirmed: we couldn't confirm your device time for this entry. This doesn't prevent you from clocking in or out, but it will be visible on your timesheet records.

Time verification FAQs

Why am I seeing a “clock mismatch” warning?

It means your device time (i.e. your phone clock) differs from the expected time by more than 5 minutes. It’s just a signal for review.

Will this stop me from clocking in or out?

No—everything works as normal. It doesn’t block your timesheets.

Does this mean I’ve done something wrong?

No. It just highlights that the time couldn’t be fully verified.

What does “not confirmed” mean?

It means the system couldn’t validate your device time—usually this is because you’ve not recently had an internet connection.

Is this because my phone is set up for a different timezone?

No—timezones are accounted for. Only the device clock itself matters.
