Clock-in and clock-out using the mobile app

How to clock in and out of the mobile app to record your time, and how to enable GPS for accurate location stamping.

Timesheets in the Onetrace mobile app provide Administrators with accurate visibility of when and where operatives clock in and out, using timestamps and GPS location. This builds confidence and transparency that teams are on-site and working at the right times. This guide will walk you through the steps to clock in and out of a project using the app.

  • Timesheets record only the moment of clock in and clock out—not continuous tracking throughout the day.

  • GPS data provides a snapshot of the operative’s location at those times.

  • Administrators can rely on Timesheets for clear, verifiable evidence of attendance on site.


Clock in and out of the mobile app

How to clock in on mobile:

  1. Open the Onetrace app on your mobile device.

  2. Go to the My Time tab (bottom-right corner).

  3. Tap All Projects at the top of the screen.

  4. Select the project you are clocking in for.

  5. Tap Clock In. The first time you clock in, you’ll be prompted to enable GPS tracking. Tap Enable Location to allow access.

  6. Tap Start Timer to begin tracking your shift.

How to clock out on mobile:

  1. Open the Onetrace app on your mobile device.

  2. Go to the My Time tab (bottom-right corner).

  3. Tap All Projects at the top of the screen.

  4. Select the project you are clocking out from.

  5. Tap Clock Out.

  6. Tap Stop Timer to end your shift.

⚠️ Remember: You must manually clock out at the end of your shift. Always clock out after completing a job for the day.

How to enable GPS location on mobile:

  1. Open the Onetrace app on your mobile device.

  2. Go to the My Time tab (bottom-right corner).

  3. Tap All Projects at the top of the screen.

  4. Select the Project you want to clock in for.

  5. Tap the Clock In button.

  6. When prompted, tap Enable Location. A message will appear: “In order to provide the best experience, Onetrace requires location permissions.”

  7. Choose your location sharing preference. The recommended option is “Allow while using the app”.

  8. Finally, tap the Start Timer button.

💡 Note: GPS is only used to record the timestamp when you clock in. It does not track your location throughout the day.

Time verification

To ensure your time is recorded accurately, Onetrace checks that your device time matches real time when you clock in or out. If there’s a discrepancy, a status will appear in the clock-in and out drawer for review. This won’t block you from working or completing your time logs.

  • Clock mismatch: Your device clock differs from our server time. This doesn't prevent you from clocking in or out, but it will be visible on your timesheet records.

  • Unverified: We couldn't confirm your device time for this entry. This doesn't prevent you from clocking in or out, but it will be visible on your timesheet records.

Time verification FAQs

Why am I seeing a “clock mismatch” warning?

It means your device time (i.e. your phone clock) differs from the expected time by more than 5 minutes. It’s just a signal for review.

Will this stop me from clocking in or out?

No—everything works as normal. It doesn’t block your timesheets.

Does this mean I’ve done something wrong?

No. It just highlights that the time couldn’t be fully verified.

What does “not confirmed” mean?

It means the system couldn’t validate your device time—usually this is because you’ve not recently had an internet connection.

Is this because my phone is set up for a different timezone?

No—timezones are accounted for. Only the device clock itself matters.
