Onetrace allows you to run reports for any custom timeframe, providing valuable insights into specific periods. The Timesheets report enables you to access consolidated information in table form regarding members, teams, and projects within your selected timeframe.
Generating this report allows you to view all the relevant data together in one place. This guide will walk you through the steps necessary to generate a Timesheets report.
⚠️ Geofencing is currently in beta and only available to a select group of customers. To use this feature, you must run version 12.7 or higher of the mobile app.
Generate a timesheets report
How to generate a timesheets report:
Navigate to timesheets in the left-hand sidebar.
Select your date range by clicking the date in the top left corner or using the calendar.
Run the report from the overview page, or select a specific member. Use the filters at the top to view by date range, team, client, and projects.
Click Get report to download the data as an Excel file.
Access your report via email or the reports hub by clicking the report icon in the top right.
💡 The Excel report includes:
Operative details - name, employee number, rates, and teams.
Time details - start and end stamps, duration, clock skew and total hours.
Location details - start and end distances with coordinates to identify clocking in and out discrepancies.
Time breakdown
Onetrace checks for clock skew by comparing device time against the server whenever someone clocks in or out. The clock skew columns show the time difference—positive numbers mean the device was ahead of the Onetrace server, and negative numbers mean it was behind. Time zones don’t affect clock skew.
Clock Skew FAQs
What are the "clock-in skew" and "clock-out skew" fields in the Timesheets report?
They show the difference in seconds between the operative's device time and server (UTC) time at clock-in/out.
Where can I see this?
Clock-in and clock-out skew are fields in the timesheets report (given in seconds), and also appear as in-app indicators.
What does “clock mismatch” mean?
It means there’s a difference of more than 5 minutes between the operative's device time and server (UTC) time.
What does “not confirmed” mean?
It means there wasn’t enough data to validate the device time (e.g. offline usage).
What does a large skew mean? Does it mean manipulation?
Not necessarily—offline work or delayed sync can cause this. It’s a signal, not proof.
Does this prevent inaccurate timesheets from being submitted?
It doesn’t block operatives from submitting their timesheets—it surfaces issues so you can review them with context.
Can operatives bypass this using timezones?
No—this flag ignores timezones. Only actual differences between the device clock and server time affect it.
How should I use this in practice?
Use this as part of your timesheets review, alongside job context and activity history.
Location breakdown
Your Excel report includes dedicated columns for location data gathered at clock-in and clock-out. Distances are measured based on the location of the operative's device. The exact location of a device can be affected by external factors, including device hardware, battery levels, signal strength, user location permissions, surrounding structures, or being below ground.
💡 Geofencing is currently in a Beta trial, so these columns will not show for all customers. If you would like to learn more, please contact our support team.
Start and end distance and coordinates columns
The start and end distance calculates in metres, how far the operative’s device was from the site address coordinates—or the what3words location, if applied. The start and end coordinates record the device’s exact coordinates, which you can reverse into a maps provider to see the location.
These start and end distances will be empty if:
The timesheet was created before 6 February 2026.
The site lacks an exact address or what3words location. Find out how to add a site address here.
The timesheet was added manually.
Device location permissions are turned off.
Device location permissions are not enabled.
Started and ended Geofence Radius columns
These columns record the site radius at the time the operative clocked in and out, not their exact position within that radius. You can view this in the web version of timesheets in Onetrace.
Location FAQs
The radius recorded is different to the one in the site address in Onetrace?
The Excel report displays the radius captured at the exact point the operative clocked in and out. If the site radius has changed since then, future timesheet entries will reflect the update.
Why am I seeing geofence columns and a radius in my timesheet report?
Geofencing is turned on for your organisation. This applies a default 100m radius to all projects and sites, even if the site or project does not have an address.
Why is the geofence radius cell empty?
The geofence feature was turned off in settings when the operative clocked in or out. These start and end distances will be empty if:
The timesheet was created pre-6th February 2026.
If the site lacks an exact address or a what3words location, find out how to add a site address here.
Timesheet was added manually.
Device location permissions are not enabled.
