Customisable location reference field

Every location in Onetrace can also have a location reference. It's a system field for the identifier your client uses, like a door ID, plot number or action number.

Written by Admin

You can give the location reference field a display name that suits your organisation, set a different name for individual projects. The location reference can be enabled for every project, and admins manage it from settings and project setup.

  • Your client's language: call the field "Door ID", "Plot No." or whatever your client uses, across your organisation or for a single project.

  • Ready for report naming: the location reference is available as a token in report naming, so your client's identifier can appear in every job sheet PDF file name.

💡 The display name only changes what the field is called. Renaming it never edits or removes the location reference values you've already recorded.

Set your organisation default

The organisation default is the name every project uses unless you give it a custom one. We'd recommend setting this first, then customising only the projects that need something different.

How to set the organisation default

  1. Go to Settings > Customise.

  2. Under Fields, find Location reference. The card shows the current default name.

  3. Select the edit icon.

  4. Enter a new name in Field display name.

  5. Select Save, then confirm the change. Onetrace shows you how many projects use the default name and will pick up the change. Projects with a custom name aren't affected.

Projects using a custom setting—see which projects have their own name, and move them back to the default.

  1. On the Location reference card, select [number] projects are using a custom setting.

  2. Search or scroll the list. Each project shows the custom name it's using.

  3. Select the projects you want to change, or choose Select all.

  4. Select Reset to default. Those projects now use the organisation default.

If you see All projects using organisation default, none of your projects has a custom name, so any change to the default applies everywhere.

Set a custom name for one project

Use a custom name when one client uses different terminology from the rest of your work, for example "Action No." on one job and "Door ID" on another.

How to set a custom name

  1. Open the project and go to Project setup > Locations.

  2. Under Fields, find Location reference and select the edit icon.

  3. In Edit field display name, select Custom. This only affects this project.

  4. Enter the name in Field display name and select Save.

To go back to the organisation default, open the same window, select Use organisation default and save.

Set a custom name for a project template

If you set up projects for the same client from a template, give the template its own name for the location reference. Every new project created from that template uses it, so you don't need to rename the field project by project.

How to set a custom name for a template

  1. Open the project template in the Library and go to its Locations section.

  2. Under Fields, find Location reference and select the edit icon.

  3. In Edit field display name, select Custom. This only affects this template and the new projects you create from it.

  4. Enter the name in Field display name and select Save.

Projects you've already created from the template keep the name they have now. Changing the template only affects new projects To change an existing project, follow the steps above for one project.

To go back to the organisation default, open the same window, select Use organisation default and save.

Where the location reference appears

Once it's set, your display name is used wherever the location reference shows, including:

  • Web app: the locations table and location drawer, the jobs and job sheets tables, and the top of each job sheet.

  • Mobile app: operatives can search by the customised reference when finding locations.

  • Report naming: as the Location Reference token. See Customise report file names.
