Learn how to use custom location statuses, add colours and icons to them and determine which statuses show in the To-do list.

Custom Location Statuses is a project-specific feature that lets you name, choose an icon and colour-code location statuses. This helps you categorise locations easily and track their progress.


What are Custom Location Statuses?

Projects on Onetrace commonly involve recording, managing, and using information about locations and assets within a building or facility.

Custom location statuses allow you to assign specific status labels or codes to these assets tailored to the organisation's specific needs and workflows.

This provides more granular information about the condition or status of a particular location or asset. You can add your custom locations to the following status groups:

  1. Pending

  2. Active

  3. Completed

  4. Cancelled


Why should you use Custom Location Statuses?

  1. Improved Tracking and Reporting

    Enabling custom location statuses will help you categorise your work with greater detail with improved tracking of your locations and assets. This will help you identify areas that need attention and prioritise your jobs.

  2. Enhanced Communication and Collaboration

    Custom location statuses will enable you to effectively communicate and collaborate across your teams and organisation.

  3. Customisation and Flexibility

    Custom Location Statuses will enable you to define statuses that align with your operations, processes and project-specific requirements to represent the various stages of the passive fire protection lifecycle, such as inspection, maintenance, and remedial works.

  4. Compliance and Regulatory Adherence

    You can generate detailed reports across multiple locations and projects to identify areas of concern, track progress, and provide evidence of compliance during audits or inspections by regulatory authorities.


Steps to add Location Statuses

1. Log into your account at app.onetrace.com

2. Select the Project you wish to work with.

3. Click the Project Setup button.

4. Select Custom Statuses from the dropdown menu.

5. Click the + icon against the stage where you wish to add the location status.

6. Type the Name into the empty field.

7. Click the Save button.

🚨 Important System Validation

  1. Users cannot create custom statuses with names > 20 characters.

  2. Users cannot create custom statuses with names <2 characters.

  3. Users cannot create custom statuses with the same name.

  4. Users can only use allowed special characters ( , : , & , +) alongside alphanumeric characters in their custom status names.

  5. Users can create up to 10 customer statuses per project.

  6. Two or more statuses can have the same icon and colour but not the same name.


Steps to edit the name of your Location Statuses

1. Log into your account at app.onetrace.com

2. Select the Project you wish to work with.

3. Click the Project Setup button.

4. Select Custom Statuses from the dropdown menu.

5. Hover on the right side of the status whose name you wish to edit and click the three dots.

6. Select Edit from the options.

7. Edit the Name and click the Save button.

🚨 Important System Validation

You cannot open and edit another status when a status item is in edit mode.


Steps to change the icon/colour of your Location Statuses

1. Log into your account at app.onetrace.com

2. Select the Project you wish to work with.

3. Click the Project Setup button.

4. Select Custom Statuses from the dropdown menu.

5. Click the "Icon" button to select a preferred icon for the custom location whose icon you wish to change.

6. Once you've made your selection click the Save button.

✨ Steps to add custom colour to your Location Statuses

5. Click the "Colour" button to select a preferred colour for the custom location whose colour you wish to change.

6. After selecting the colour, click the Save button to save your preference.


How to delete a Custom Location Status

1. Log into your account at app.onetrace.com

2. Select the Project you wish to work with.

3. Click the Project Setup button.

4. Select Custom Statuses from the dropdown menu.

5. Hover on the right side of the status and click the three dots.

6. Select Delete from the options.

7. Select the status to which you'd like to transfer this custom location from the dropdown.

8. Click the Delete Status button.

🚨 Important System Validation

  • To delete a custom location, you must first add it to another status.

  • There must be at least one custom location in the Active and Completed status groups.

  • Pending and Cancelled location status groups do not require a minimum of one status.


How to reorder a Custom Location Status

1. Log into your account at app.onetrace.com

2. Select the Project you wish to work with.

3. Click the Project Setup button.

4. Select Custom Statuses from the dropdown menu.

5. Click the Reorder button.

6. Click the drag icon to reorder the custom location status.

7. Click the Save Changes button.


Determine which statuses will show in the To-do List

1. Log into your account at app.onetrace.com

2. Select the Project you wish to work with.

3. Click the Project Setup button.

4. Select Custom Statuses from the dropdown menu.

5. Click the Add Status dropdown to choose a status to determine which status shows in a Todo list.

6. Click the Add button.

✨ Steps to remove a Custom Location Status from the To-do List

5. Scroll down to the To-Do List section and click the Bin icon to remove a custom location status from appearing in a to-do list.


Can operatives manually update location status?

Yes, the operatives can manually update the location status. However, to do so the job sheet must be submitted before they can manually start updating location statuses.

✨ Steps to enable "Operative can update location status" in your forms

1. Log into your account at app.onetrace.com

2. Select the Project you wish to work with.

3. Click the Project Setup button.

4. Select Forms from the dropdown menu.

5. Click the Form you wish to edit the preference for.

6. Scroll down and turn this switch on.
