In this guide, you will learn how to import rates into a rate set and import custom rates to a project.

The rates CSV templates on Onetrace can be directly downloaded from the desktop application and opened in your chosen spreadsheet program. You can populate rates against multiple materials within the CSV file and import these into the Onetrace platform for use on any project.

What is a CSV Template?

A CSV Template file is a simple file set compatible with many applications. It is frequently opened using a spreadsheet program such as an Excel or Google Sheets.

How will this benefit you?

The rates CSV templates on Onetrace can be directly downloaded from the desktop application and opened in your chosen spreadsheet program. You can populate rates against multiple materials within the CSV file and import these into the Onetrace platform for use on any project.

Importing a CSV file of rates allows you to add rates to multiple materials in bulk.

This feature lets you store the imported rates within Rate Sets in the settings area, making them readily available for future projects. You can also add custom rates to projects in bulk through a rates CSV template.

In this guide you will find the information you need to:


Import Rates into a Rate Set

1. Log into your account at app.onetrace.com

2. Choose the Settings tab using the left navigation bar.

3. Click the Rates button.

4. Navigate the desired Rate Group, and click the Rate Set you wish to work with.

5. Click the Import Rates button.

6. You have two options to download a template.

A. Click the Current Rates CSV Template to download your current material rates. This can be used if you already have rates against materials that you would like to see and amend before re-uploading.

B. Click the Empty Rates CSV Template with all Materials to download a template that only contains your Onetrace materials with no attached rates.

7. Open the downloaded file on your device.

8. You'll find the following information on the template

  • Material Name

  • Material ID (e.g. 65c3b3afa70ba494d1015143)

  • For up to column

  • Flat Amount

  • Per Input Type (e.g. Quantity, Square Metre, etc.)

9. Enter the corresponding information against each of these fields.

10. Review the information you have entered and save the CSV Template.

🚨 Ensure the file is saved and renamed as CSV.

11. Click the Select CSV File button to upload the file back into Onetrace

12. Click the Import CSV button.

13. Review your changes in the rates import wizard and click the Confirm Changes button when ready.


Import custom rates to a Project

1. Log into your account at app.onetrace.com

2. Click the Project you wish to work with.

3. Click the Project Setup button.

4. Select Materials & Rates from the dropdown menu.

5. Click the Material Manager button.

6. Click the Import Rates button.

7. Select the Rate Group using the dropdown.

8. You have two options to download a template.

A. Click the Current Rates CSV Template to download your current material rates for the materials in the Project. This can be used if you already have rates against materials that you would like to see and amend before re-uploading.

B. Click the Empty Rates CSV Template with all Materials to download a template that only contains your Project materials with no attached rates.

C. The template will only show materials that are currently active in the project. However, you can also add materials that are in your Onetrace library to the project through the custom rates CSV import.

πŸ’‘ You can add materials that exist in your Onetrace Material Library to a project through a rates CSV import. If the system can recognise the Material ID and it is not already in the Project Material manager it will automatically add it to the Project.

9. Open the downloaded file on your device.

10. You'll find the following information on the template

  • Material Name

  • Material ID (e.g. 65c3b3afa70ba494d1015143)

  • For up to column

  • Flat Amount

  • Per Input Type (e.g. Quantity, Square Metre, etc.)

11. Enter the corresponding information against each of these fields.

12. Click the Select CSV File button to upload the file back into Onetrace

13. Click the Import CSV button.

14. Review your changes in the rates import wizard and click the Confirm Changes button when ready.


Troubleshooting Errors When Uploading a Rates CSV

When you upload a CSV template that you have filled with your data, you may encounter errors where the data has been entered incorrectly. The error messages that you may come across are:

  1. "Material ID is invalid" (One of the material IDs is not in the expected format)

  2. "Material ID not recognised" (One of the material IDs does not exist in the user's material library)

  3. "Material ID is a duplicate" (A material has been added twice to the CSV file)

  4. "Material is archived" (The CSV file contains material that has been archived in the user's Onetrace organisation)

  5. "Invalid number" (The user has entered letters in the rates fields)

The error message will highlight which cell in the CSV file is incorrect so that you can verify and update the data. Here is an example of an error message that you will see if the data is not correctly inputted.
